Communications and the virtual rep
44 · Cancel saves

A customer asks to cancel, and the save offer is already drafted

Part of Praxis Virtual Sales Rep — it acts only when you approve.

When a sold customer emails to cancel, the request lands in Email Updates and on Action Needed with the job's own numbers under it: what they pay now, their install date, and the job priced three ways — Par, Employee and Cost. You choose a save with the facts in front of you, not from memory.

If you haven't answered within two hours, the app drafts a save offer at Par, or the next price that is a real save, as a reply in their thread and your phone gets a push: Cancel-save draft ready. Approve sends it; Dismiss drops it. The moment you reply yourself, it steps back. From there it follows the thread for you: the customer's yes, their no, or three days of silence each reach your phone once.

They said yes? Tap Apply cancel-save price. The check shows the old price and the new one, the commission you give up, and every guard it passed: it is still a sale with a contract, the customer accepted, and the new price is at or above cost and below what they pay now. The Detailed Explanation line is written for you — a cancel save, old price to new, scope unchanged, install date held — ready to paste. Approve, and the new price is applied to the job's quote with the tax worked out again and read back. Still a no? Cancel the contract or Send one more follow-up — each asks you first.

The Apply cancel-save price check: the old and new price, the commission at the new price and the commission given up, what will and will not change, the checks it passed, and the Detailed Explanation line, waiting for Approve.

How you use it
  1. Open the request from the notification, Email Updates or Action Needed.
  2. Approve the drafted offer, change it, or offer Employee or Cost instead.
  3. When they say yes, tap Apply cancel-save price, read the check and Approve. Paste the Detailed Explanation line into Salesforce.
  4. Still canceling? Cancel the contract, or Send one more follow-up.

What it does, step by step

  1. A sold customer emails to cancel. The request shows in Email Updates and on Action Needed with what they pay now, the install date and the job priced at Par, Employee and Cost.
  2. If you haven't answered within two hours, a save offer at Par is drafted as a reply in their thread and your phone gets a push. Approve sends it; Dismiss drops it.
  3. The moment you reply yourself, the automation stops for that thread.
  4. The customer's yes, their no, or three days of silence each push your phone once.
  5. They said yes: Apply cancel-save price shows the old and new price, the commission given up and every check, and writes the Detailed Explanation line for you to paste.
  6. Approve, and the new price is applied to the job's quote with the tax worked out again and read back. Still a no: Cancel the contract or Send one more follow-up, each behind its own approval.

Time it saves Estimates

Writing the save offer10–15 minDrafted for you to approve
Changing the price and writing the note15–20 min in SalesforceOne approval and a paste

Typically 30–45 minutes per cancel request, and more cancels saved.

Typical estimates, not guarantees.

Errors it prevents Guesstimates

Time figures are typical estimates for an active rep, not guarantees. Error figures are guesstimates for a rep closing about 10 jobs a month. Both vary with the rep, the office and the job.
